(instead of a formal meeting)
December 7, 2004; 8:30-9 PM, Parish Library
Meeting Minutes

No formal meeting because we held an Open House (see photos).

Decisions

1) Add links to free Microsoft readers for Word, Powerpoint and Excel documents for those ministries that distribute schedules in that format. Do this along the same lines as the PDF help pages we have. Our preference is not to use proprietary solutions that involve special plug-ins or software that not everyone has, but we do want to accommodate those cases where exceptions occur.

Decisions

1) Ministries Fair recommendations:

  • Keep the great layout and roominess of hosting the event in Benedict Hall.
  • Clarify if volunteers should bring their own name tags or whether enough will be supplied for each Mass.
  • Provide a map of the Fair ahead of time online for those who want to pick out a particular table they want to visit.
  • For the individual table signs, consider using block letters for increasing readability from far away.
  • [For the Web Team, use the binder of web page printouts again since it proved surprisingly popular.]

2) Proceed with using a task tracker

  • Use a task tracker for non-urgent, unassigned events where there isn't an obvious candidate to complete the task. If one person is already on point for a particular ministry area then the tracker does not need to be used.
  • Remove old attachments after a project is complete or cancelled to save disk space.
  • Accept the limitations of using a system designed for bug tracking during software development when we're actually using the system for project management.

3) Add Community Life Ministry monthly reports online under /council/2004/, but link to the content from the Council and Community Life pages.

4) Make the next Web Team meeting an Open House after the Immaculate Conception Vigil.

  • Meet together as a group for Mass on Tuesday, December 7 at 7:30 PM.
  • Host an Open House in the library (already reserved for our meeting) after Mass.
  • Our usual Christmas gathering will now be opened to parishioners on that evening.

Open Issues

  • Need a solution to show due dates in the task tracker since the system is built around softare releases.

Action Items

Larry - Determine which open source task tracker we'll use by mid-November. (We'll stick with our current one unless a better option is available.)

Milt - Check on whether the parish URL can appear in a similar point size along side the parish address when the front of the bulletin is redesigned to reflect the community center.

Mark - Notify the authorities about the Web Team open house in December.

WEB TEAM MEETING: March 9, 2004, 7:30 PM in the Memorial Room
========= DECISIONS ========= 1. The Web Team is more than happy to be one of many groups to use the parish technology center, to respect its policies and to safeguard the technology. 2. Add "Current Month's Highlights" to top of calendar to show Council's picks. Purpose is to partially address issue of seeing the "major" events for the month. Current Month's Highlights link added to top of calendar 3. "Newcomers welcome" section of the website will be designed as follows: 3-tab approach with self-contained pages, keeping a minimal number of links so as not to overwhelm newcomers. (We won't use the existing "Our Parish" page since that's also aimed at current parishioners and has a larger number of links.) * Tab A - Newcomers Welcome 1 paragraph welcome from the pastor List one welcoming event (welcome reception if coming up w/in a month, or another parish-wide event if welcome receptions just passed) * Tab B - About St. Charles (newcomers version) 1 Latest bulletin, 2 FAQ, 3 Parish Staff, 4 Homilies, 5 Faith, 6 Volunteer Ops 7 School, 8 Relig. Ed., 9 Parish History, (eventually, Community Center link) "How to Join the Parish >>" * Tab C - (existing) Join St. Charles page 4. Web Team ministry page redesign: * Tab A - Web Team Ministry * Tab B - Services [Requests, Comments, Contributions] * Tab C - Programming Tips * Tab D - Meetings & Minutes Link style guidelines (explantions and background) and pagetags page (actual code), listing all the code examples on one long page linked at the top similar to an FAQ. 5. Search Engine: stick with Google for now and don't force a new page to open. Re-evaluate HtDig once our server and provider situation is stabilized. ============ ACTION ITEMS ============ Mark: Add "current month's highlights" link to main calendar that will show the latest month's highlights as picked by the parish council each month. This'll be an include file that will also drop into the News page. This is a medium-term workaround for showing priorities on the calendar at a glance. [Done] Create revised Web Team and New Parishioners pages. Make background color on calendar match rest of site [Done]. Continue integration of styleguide and code snippets. Jose: Avoid forcing new browser windows to open going forward. [Done] Larry: For April's Council, prepare options for site hosting, including costs and list of our current requirements like mySQL, PHP. Options can include staying with our current host, any known reliable providers that offer a similar service, and the option to maintain our own server. (The list of our current requirements will permit anyone else who wants to price a vendor to do so. Continue to work bugs in calendar. Arrange for cancellation of monthly $5 charge for web traffic stats that are no longer available. Aim for getting open source traffic stats package implemented for end of March. Create script to output calendar events into a spreadsheet for Jose. [Done] Milt: Prepare 1 paragraph "Pastor's welcome message" and a 2-paragraph
"faith at St. Charles" by the Pastor, get approval by Fr. Gerry and arrange for Spanish translation. ============ DISCUSSIONS ============ OUTAGE - New server space and capabilities on back end, but haven't done full switchover yet. Shouldn't have any site downtime during the switch. Larry is aiming for the late March 14. We'll need to do our own back-up copy of the site, capturing any files changed since February as a precaution. CALENDAR - Known bugs are continuing to be worked, although we're at a point where we're well beyond the intended capabilities of the software. Another open source package may be preferred down the road. There are over 250 events listed in March, so it is difficult to have an inclusive calendar that's also easy to see all events at a glance. ATTENDEES: Mark, Andrew, Tom, Larry, Jose, Milt, Becky, Maggie (Eugene emailed a list of calendar/scheduler bugs--some identified previously, some not.) WEB TEAM MEETING: January 27, 2004 (DID NOT TAKE PLACE BECAUSE OF BAD WEATHER) (This is a summary of results taking place in the interim.) You'll note on our homepage that we now have 2 columns for headlines and we have a few more than usual. The Parish Council and Fr. Creedon are identifying parish highlights for the coming month. These are first posted on the Council page for review by the Council, http://www.stcharleschurch.org/council/#highlights, and then are added to the News page in the right-hand column. These highlights then trickle on to the home page as time and space permit. The purpose is that the highlights are available for a longer time (on the News page) for visitors to plan accordingly, and then are added to the home page (for higher visibility). We want to keep the homepage newsy and not too long, so this is the approach we're taking. ========= FISCAL YEAR 2005-2006 WEB TEAM DATES ========= We plan on celebrating the parish website's anniversary in early June during Mass. In 2005, we hope to have an open house of sorts after the 9 AM, 1 PM and 11 AM Masses. In 2006, we'd like to expand to after all of the Masses. I also imagine we'll offer some classes at some point, but it's too premature to discuss dates until we actually have computers in the community center.
