Q: Why are we switching to a new calendar software program?
A: The original calendar program met the requirements of St. Charles Parish during the period when our Community Center was under construction. Now that the facility is completed and our campus has expanded, the number of activities to be scheduled has increased. The new "Kronophobia" calendar program was designed by and written for an educational institution that schedules multiple facilities with various users. It has a much larger capacity than the previous St. Charles system. The Scheduling Task Force has spent three months testing Kronophobia and feels confident that it will serve the needs of our community now and in the future.
Q: What are the key features of the Kronophobia program?
A: The Kronophobia program is user-friendly and accessible to staff and volunteers. It accepts scheduling requests via email (in addition to the existing calendar form) and provides for human intervention to validate room reservation requests. Kronophobia automatically identifies schedule conflicts and allows authorized staff to easily make changes/updates to the calendar. Further, monthly, weekly and daily (hard copy) calendars can be printed for posting in the Parish and School offices and the Parish Community Center. Finally, Kronophobia is powerful enough to accommodate a large number of activities (including rentals) and it is easy to upgrade/expand.
Q: Will there be an orientation/training session on the Kronophobia program?
A: Yes. Scheduling Task Force members will be available after the Sunday morning Masses during the Ministries Fair on September 26 to demonstrate the program. Check the parish bulletin and the Web site in September for training location details.
Q: Is there a user's manual for the Kronophobia program?
A: In addition to the manual, which will be stored in the Parish Community Center Office, Kronophobia has an online "Help" section that is accessible to all users.
Room Reservations
Q: How can I submit room reservation requests for St. Charles facilities?
A: Requests will be accepted via the existing calendar form (found in the Parish Office and the Parish Community Center) and via email.
Q: Do I need to register a username and password to submit room reservation requests via email?
A: No. To submit a request via email, simply send a message to schedule@stcharleschurch.org and include the following details: activity name, date, start time, end time, approximate number of attendees, desired location, your ministry (and core ministry affiliation, if known), and your contact information (name, day and evening phone numbers and valid email address). Also, if you require special services (such as the use of the kitchen in Benedict Hall), please include these details too.
Q: How will I know when my room reservation request is validated?
A: You will receive an email from one of the parish's schedulers (Araceli Manoatl, Colleen Nevius or Ray Watson) that will either confirm your request as submitted or suggest an alternative if your requested meeting room is unavailable. In the latter case, please send an email reply promptly to the scheduler(s) to confirm your acceptance of the proposed alternative. Also, it is prudent to check the online calendar in two to three days after receipt of the validation to ensure that your activity is posted and the corresponding information is correct.
Q: How will meeting room reservation requests be prioritized?
A: Parish and School activities have priority over outside rental uses of St. Charles facilities.
