What It Takes Each Month to Keep This Site Going

The Web Team works hard to make sure your parish web site is an exciting, effective and up-to-date space. As part of our anniversary celebration, we want to let you in on what we do. Here's a snapshot of a typical month.

Each Week
Each Month

Post the Bulletins in English and Spanish

  • Receive the bulletins via email sometime between Tuesday and Friday
  • Convert into PDFs
  • Reformat the MS Word version into HTML (web page)
  • Add links to other parts of the site where appropriate
  • Update directory that lists all of the bulletins
  • Announce the changes on What's New page
  • (update parish calendars if previously-unannounced events are mentioned)
  • (update site if possible if we see fliers inserted into the bulletin that weren't provided to the Team)
     
  • we also submit a "website awareness" announcement for the bulletin each month, faxing the bulletin form at least 9 days before it will be published

Update the Various Parish Calendars

  • At night during last day of month, switch files so current month automatically pulls up when visitor selects "calendar"
  • Receive memo from parish office with changes to parish calendar (sometimes); this is often after the month has already started. Go back and remove cancelled events and add new events to both the web calendar and the print/palm-friendly calendar
  • Update C'YA calendar (usually later in month)
  • Call parish office to see if celebrant's schedule is available; request fax or pick up paper copy; retype schedule into a web page

Update Headlines page

  • Review calendar and bulletin for important events to promote
  • Respond to emails requesting headline news
  • Remove older news announcements, moving them to the News page in some cases
  • At start of month, incorporate parish monthly theme into the headlines

Participate in Web Team meeting

  • Send out reminder email to Team
  • Determine and prepare agenda
  • Prepare summary of monthly statistics

Analyze Web Traffic Statistics

  • Review which pages are popular
  • Identify if any new sites have linked to us or are sending traffic our way; review their sites to see what they're saying about us
  • Note any changes for bulletin announcements or sharing with the Council

Throughout the Month

  • Social Justice updates (This ministry uses a designated web programmer, Maggie Jones, to handle their frequent updates)
  • Respond to requests for new information, such as Living Stones or other project that come up
  • Respond to Web Team emails
  • Post any photos that become available
  • Highlight "seasonal" pages, like Marian reflections (May/October), April Fool's (2001, 2000, 1999), Pentecost, Cookies for Kairos, etc.
