Guidelines for Parish Ministry Use of Meeting/Event Space
- Reservations
Room reservations must be made in advance either electronically or using the paper forms available in the Parish Office and the Parish Community Center Information Kiosk. At that time, the responsible party/ministry meeting leader will be identified and will become the point of contact and person responsible for use of the room. Note: The reservation process is not complete until written confirmation has been received.
- Set Up
Each campus meeting/event room has a standard set up. A diagram showing each room's capacity and standard set up is on file at the Information Kiosk and is also posted on the room's wall. If a special room set up is required (such as round tables and banquet chairs, podium and microphone, easel and flip chart, coffee station, etc.), a set up diagram must be submitted by the responsible party/ministry meeting leader to the Parish Community Center Manager at least one week in advance of the meeting. (Note: Leaders of events with over 100 attendees should submit a set up diagram at least two weeks in advance.)
- Kitchen
The use of the kitchen must be overseen by a member of the hospitality committee or other individuals who have received training necessary to use the equipment. The kitchen is only to be used under such supervision. Unauthorized use of the kitchen will lead to suspension of privileges by the group.
- Opening of Room
On the day of the event, the pre-identified responsible party/ministry meeting leader should sign in at the Information Kiosk and then proceed to the room. Upon arrival, the leader should immediately report any untidiness and/or damage in the room to the Information Kiosk attendant.
- Clean Up
At the end of the meeting or event, the leader is responsible for ensuring that the room is clean and neat, that all furniture resident in that space (tables, chairs, etc.) is accounted for and the space is returned to the standard room set up. Clean up equipment is available from the Information Kiosk attendant.
- Children
Children must be supervised at all times. Children are not allowed on elevators without adults to accompany them.The Parish Community Center is to be enjoyed by all. Please help to ensure that we offer a neat and welcoming environment to all who visit by cleaning up after your meeting. Ministry groups that repeatedly fail to clean up after their activities will be subject to a review, and possibly suspension of their privilege to use campus meeting spaces.
